Copy Team Lead

Job Summary

Oversees the production process—from creation, development, and delivery of projects—for the Copywriting Team. Acts as a liaison between the production floor and managers. Also performs mentoring and coaching as needed. Provides SLA monitoring of all accounts, ensuring timely delivery, and adherence to client requirements. Also responsible for daily administrative tasks such as creating reports, as well as attendance and behavioral monitoring. Supports department’s trainers in implementation of New Hire Training curriculum.

Duties and Responsibilities:

Creative Production

  • The understanding of work instructions and interpretation of client’s business needs, job orders, production briefs, and clarification of issues and concerns prior to starting work.
  • Checking and proofreading to ensure all completed copywriting orders comply with industry standards and client requirements.

Technical Production

  • The skill and knowledge to create compelling copy that are free from grammar and composition issues.
  • The skill and knowledge to use word processing applications such as Microsoft Word, optimizing files based on client and industry standards, and ensuring file sizes are in compliance with established requirements.
  • The regular sharing of technical knowledge to team members, especially new hires.

Process Production

  • The skill and knowledge on how to properly accomplish data inputting systems for every order.
  • Ensuring the delivery of simple to complex difficulty work according to acceptable turnaround time and/or standards and/or deadlines set by the manager.
  • The proper, accurate, and timely use of available production tools (Hermes, Sunfish, DMS, etc) and other computer applications to complete a page.
  • Determining whether an order is doable based on the provided instructions of the client and effectively decides whether to send the page back for clarifications of instructions.
  • The pre-validation of incoming orders and documentation of errors and/or adjustments needed to be done.
  • When needed, the copy editing of orders to ensure they are in compliance with technical requirements (word count, formatting, SEO keywords) before delivery to the client.
  • Prioritizing orders in the production queue and assigning them among the team as necessary.
  • The documentation of critical incidents regarding an order, client requests, and information that may also need to be communicated to the client during the shift.
  • Addressing team concerns and issues such as attendance-related offenses, shift scheduling, Sunfish application requests, and overall team dynamics.
  • Working around internal processes, inventing new ways of doing production work to ensure quality and efficiency.
  • The mentoring, teaching, motivating and continuous giving of feedback to new hires especially in the areas of client specifications, technical skills, writing, workflow strategy, and new production processes whenever necessary.
  • As needed, or in the absence of functional trainer, provide training and guidance to new hires on the production floor.
  • Regularly communicating with internal and external clients using email, voice calls, and Skype to provide status updates on pages in an efficient and professional manner whenever the need arises.
  • Determining whether to escalate a client concern to managers and be able to quickly decide on solutions when problems in production arise.
  • The continuous monitoring of all clients’ Service Level Agreements (SLA) and making sure that the said agreements are met during every shift.

Other responsibilities

  • When needed, the checking of applicant as well as conducting applicant interviews and making sound decisions during the recruitment process.
  • Maintaining productivity and accuracy standards for the role and submit to Performance Improvement Plan (PIP) when necessary.
  • Accepting tasks assigned by superiors and/or Manager with minimal handover.
  • Regularly coordinating, collaborating, and interacting with team members and other department representatives to ensure cross-learning and continuous improvement.
  • Abiding by the policies and rules of the company and act in a professional manner at all times.
  • Performing/rendering of production reports and other duties or special projects, training and/or hours of work as may be reasonable required, and which are consistent with the general level of responsibility of this job.

Qualifications:

  • Bachelor's degree holder of Mass Communication, Communication Arts, Journalism or other related courses

  • At least 2 years supervisory experience in a BPO Company

  • Extensive experience in copywriting/editing/SEO is preferred

  • Excellent oral and written communication skills

  • Outsanding ability to think creatively, strategically, and identify/resolve problems

  • Willing to work in shifting schedule
